WeScout Policies
How WeScout works, and what to expect around payments, orders, and returns.
Last updated: October 2026
This Privacy Policy explains what personal data WeScout ("WeScout", "we", "us", "our") collects when you use the WeScout website and app (the "Platform"), why we collect it, who we share it with, and the choices you have. It's part of, and should be read alongside, our Terms & Conditions.
1. Information we collect
We collect the following categories of information:
- Account information: name, email address, phone number (optional), password (stored as a one-way hash — we never store or can see your plaintext password), date of birth (used only to confirm you meet our minimum age, never shown publicly), and profile details you choose to add (bio, avatar, sport, role).
- Google Sign-In: if you sign up or log in with Google, we receive your name, email, and Google account ID from Google to create or match your account. We don't receive your Google password.
- Payment and payout information: when you pay for anything on WeScout (Store orders, auctions, ground/academy bookings, consultations, Borrow-a-Player, sponsorships, WeScout Pro), your payment is processed directly by Razorpay — WeScout never sees or stores your full card, UPI, or bank details. If you set up payouts (as an athlete, team, academy, or ground/venue owner), you submit your PAN and bank account/IFSC details directly to Razorpay to create a linked payout account; WeScout's database only stores the resulting Razorpay account reference, never the PAN or account number itself.
- Location: Team Up's "nearby players" feature uses your device's GPS location (via your browser, with your explicit permission) to show you nearby players and teams. This is only collected when you open Team Up and grant permission, and is used solely for that distance-based matching.
- Content you upload: photos, videos (including live streams and AI Coach review submissions), posts, comments, messages, and listings (Store, auction, ground, academy) you choose to create or upload.
- Usage information: the activity WeScout needs to run its own features — points earned, views/likes/comments/shares on your content, bookings and orders, wallet transactions, and similar activity records tied to your account.
2. How we use this information
We use the information above to:
- Create and secure your account, and verify you meet our minimum age requirement
- Operate the features you use — the feed, bookings, Store, auctions, consultations, Team Up, live streaming, Sponsorship, WeScout Pro, points, and the wallet
- Process payments and payouts through Razorpay
- Show you relevant content and nearby players/listings
- Communicate with you about your account, orders, bookings, and platform updates
- Review reported content and enforce our Terms (including account suspension where warranted)
- Improve the Platform and prevent fraud or abuse
- Run WeScout's AI features and train WeScout's own AI, as explained in Section 3
3. AI features and how we use your content
- AI Coach: the questions you ask are processed by an AI service to write the answer (currently Google Gemini, or WeScout's own AI engine on our servers). AI Coach remembers sports facts you tell it (for example your sport, position or goals) so it can help you better — you can see and delete these at any time from the coach page.
- AI Analysis and Speed Test: the videos you upload, and any player photos used to identify players (Face ID only with that player's permission), are processed by an AI service to produce your report.
- Training WeScout's own AI: to build and improve WeScout's own sports AI, we keep copies of videos uploaded to AI Analysis and Speed Test, and we use AI Coach questions, follow-ups and "Helpful" ratings. Kept videos are stored privately on WeScout's servers (never shown publicly), may be reviewed and labelled by WeScout staff (for example marking the ball, players and jersey numbers), and are used only to train and test WeScout's AI. What the coach learns from questions is saved as short anonymous notes with no names or personal details. To train WeScout's own language model, we also keep copies of AI Coach questions and answers, and of the written parts of AI Analysis and Speed Test reports, with your name, phone numbers and email addresses removed; conversations with a video and conversations about a personal crisis are never kept. WeScout staff review these examples before any are used. Unreviewed examples are deleted after 30 days and none is kept longer than one year. We never sell this data or share it with other companies to train their AI.
How long we keep training videos: they are stored as small, reduced-quality copies without sound, used in a weekly training round and deleted right after it; videos nobody has reviewed within 14 days are deleted; and no training video is kept longer than 90 days. After deletion only small anonymous notes remain (for example where a ball was in a frame), which can't be used to rebuild your video. - Your choice: you can stop your content being used for training at any time with the switch below. Turning it off also deletes the training copies of your videos and of your coach questions we already kept.

4. Who we share information with
We share information only as needed to run the Platform:
- Razorpay — for processing payments and payouts, as described above
- Google — if you use "Continue with Google" to sign in, and as the AI service that processes AI Coach questions and AI Analysis / Speed Test videos (see Section 3)
- Other users — information you choose to make public (your profile, posts, listings) is visible to other users per your privacy settings; a ground/academy owner sees a booker's name and booking details needed to fulfil the booking
- Law enforcement or legal process — if required by applicable law, court order, or to protect the rights, safety, or property of WeScout or others
We do not sell your personal information to third parties.
5. Where your information is stored
Your login session is kept in your browser's local storage on your device so you stay signed in between visits; it's cleared when you log out. Account and activity data is stored on WeScout's servers.
6. Your choices and rights
- You can review and edit most of your profile information from Edit Profile at any time
- You can make your account private, or make individual posts private, from your settings
- You can stop your content being used to train WeScout's AI at any time (Section 3) — this also deletes the training copies of your videos
- You can withdraw location permission at any time through your browser/device settings — Team Up simply won't be able to show nearby players until you grant it again
- You can request deletion of your account and associated personal data by contacting us (see Section 9) — some records (e.g. transaction and payout records) may be retained where required by law, such as tax and payment-recordkeeping rules
7. Children's privacy
WeScout requires users to be at least 13 years old (see our Terms, Section 2). We don't knowingly collect personal information from anyone under 13. If we learn an account belongs to someone under 13, we'll take steps to remove it.
8. Data security
We use industry-standard measures (password hashing, encrypted connections, and access controls) to protect your information. No system is 100% secure, so we can't guarantee absolute security, but we work to protect your data and will notify you as required by law if a breach affects your personal information.
9. Contact us
Questions about this Privacy Policy, or a request to access, correct, or delete your personal data? Reach the WeScout team through the in-app support/report tools, or the Grievance Officer listed in our Terms (Section 17).
10. Changes to this policy
We may update this Privacy Policy as WeScout's features change. We'll update the "Last updated" date above; if a change is significant, we'll flag it in-app.
